Who we are
My Rugby is a rugby coaching service run by James McFarlane (“we”, “us”). Players send clips of themselves playing; a coach watches them and sends back feedback and drills. We are responsible for the personal data described here. Contact: james@my-rugby.com.
What we collect
- Your account: name, email address and password (stored only as a secure hash, never readable by us).
- Your rugby profile: what you choose to tell us, such as club, position, dominant side, height, weight, a self-rating and a profile photo.
- Age and guardian: your date of birth, and for players under 16 the email address (and, if you give it, phone number) of a parent or guardian who confirms they know you use My Rugby.
- Your clips and feedback: the videos you upload, still frames taken from them, and the coach’s feedback, drills and progress notes.
- Country: worked out from your connection when you sign up, so prices are shown in the right currency (GBP or AED).
- Payments: the plan you choose, the amount, a payment reference and whether it has been paid. Payment itself happens outside My Rugby; we never see or store card or bank details.
- Notifications: if you allow them in the iPhone app, a device address Apple gives us so we can tell you when feedback is ready.
- Records of activity: when you sign up, upload, and when a coach or administrator changes your account, so problems can be put right.
Why we use it
To run the service you signed up for: show your clips to your coach, deliver feedback, track your progress, take payment for a plan, and email or notify you about your account. For under-16s, to involve a parent or guardian before feedback is shown. We do not sell your data, show advertising, or use your clips for anything other than coaching you.
Who processes it for us
These companies handle data on our behalf, only to provide My Rugby:
- Supabase — accounts, sign-in and the database.
- Vercel — hosts the website and app.
- Cloudflare — stores uploaded videos and frames.
- Anthropic — AI that analyses still frames from your clips to help the coach prepare feedback. Every review is checked and sent by the coach.
- Inngest — runs the background steps that prepare an uploaded clip, which pass the clip’s frames and details through its service.
- Resend — sends account and feedback emails.
- Apple — delivers notifications to the iPhone app.
Some of these are based outside the UK and UAE; they process data under their own data-protection terms.
Children
Players under 16 can use My Rugby with a parent or guardian’s knowledge. We email the guardian to confirm, and a player’s feedback stays private until they do. A confirmed guardian can see their child’s clips, feedback and progress in their own account.
How long we keep it
For as long as your account exists. When you delete your account, your profile, clips, frames, feedback, drills, payment records and notification addresses are deleted straight away, and your login is removed.
We keep an activity log of changes made to accounts (for example a profile edit, a payment being confirmed, or the account being deleted), which can include a name or email address. It is kept so mistakes can be put right and questions answered, and is not used for anything else. If you want your entries removed, email us.
If a parent deletes their account, their child’s account is not deleted, and the guardian contact details on the child’s record stay there as part of the child’s safeguarding record. The child, or the parent by email, can ask us to change or remove them.
Your choices and rights
- Delete your account: My Profile → Delete my account, on the website or in the app. It takes effect immediately.
- Correct your details: edit your profile, or ask your coach.
- A copy of your data, or any other request: email james@my-rugby.com.
- Notifications: turn them off at any time in your iPhone’s Settings.
If you are unhappy with how we handle your data, please tell us first. You can also complain to your local data-protection authority (in the UK, the ICO).
Changes
If this policy changes, we will update this page and the date at the top, and tell you in the app or by email if the change is significant.
